Housing options
Fermilab’s Batavia site is conveniently located in the suburbs of Chicago. If you are a Fermilab user, affiliate or human-resources approved interns, please refer to the details below regarding your preferred housing option. Personnel requesting access to nonpublic areas of the Batavia and South Dakota sites, such as Fermilab Village, must submit a REAL ID-compliant identification document as part of the badging process. Additional information regarding REAL ID can be found on Fermilab’s REAL ID page.
On-site housing
Fermilab Village, the on-site housing option, offers a range of fully furnished houses, apartments and dorms for short- and long-term stays. Users, affiliates and interns (participants in Fermilab student programs) qualify for on-site housing.
Immediate family members — spouses, domestic partners, children, stepchildren, parents and parents-in-law — also qualify, with approved site access. All Village residents must possess a Fermilab badge.
A valid Fermilab ID badge is required to access the Village.

Access requests can take up to four weeks to go through approvals. Please submit your housing request form at least three weeks prior to your arrival.

Interns do not need to complete an access request form and can proceed to Step 2.
All other non-employees (users and affiliates) who do not already have approved on-site access must complete the Fermilab on-site access request form. You will receive a confirmation via email once your request is received and processed.
Approvals on these requests can take up to four weeks so please plan accordingly.
Make sure to answer “yes” to the question that asks if you will be requesting on-site housing. This does not reserve your on-site housing, but it will notify the Housing Office when your on-site access is approved. Housing cannot be confirmed until your access request has gone through all the approval steps.
Complete the entire access request process per your access type as detailed on the access types pages, which includes the step-by-step process and links to the access forms and badge appointment scheduler.
If you have an authorized guest who will be staying with you, your access request needs to be approved first before you submit the request for your guest.
Please complete the “Housing Request Form” after on-site access is approved. Follow the steps in the form, and for guidance, review the Procedure on Housing Process.
- Your on-site access must be approved before your housing can be confirmed.
- Please note that indicating that you are interested in housing on the on-site access request form does not guarantee housing. You must complete the “Housing Request Form”. Report any changes to the Housing Office as soon as possible. If you need to cancel your housing, please contact the Housing Office at least two weeks in advance of your reservation to avoid fees.
All Village residents 18 years or older, including temporary guests, must have a valid authorized guest Fermilab ID badge. If your spouse, adult child or any person over 18 is accompanying you to stay in Fermilab Village, contact the Housing Office to discuss potential guests visiting Fermilab with you. You are required to fill out the authorized guest access form as soon as you are confirmed for housing. Your guests will not be allowed on site until they have completed this step and have been approved for site access.
Please note: An authorized guest is defined as: spouse, domestic partner, child, stepchild, parent, or parent-in-law. Business visitors and personal visitors cannot stay in the Village.

Once your housing request has been approved, you will receive a housing confirmation email from the Housing Office. The email will include details on payment.
Rent payment is due prior to your arrival. To pay, please call the Housing Office at 630-840-3777. The office is open Monday through Friday, 8 a.m. to 4 p.m. CST. If phone calling is an obstacle, please send an email to housing@fnal.gov to set up a Zoom call.
Payment is on the first business day of each month for longer stays (more than 30 days). Payment can be made at the Housing Office or by phone. As of October 1, 2023, cash payments are no longer accepted. Keys will not be issued unless payment is received.
Rental fees and other charges are payable by check, money order, major credit cards, or approved project/task number (travel code). It is your responsibility to pay rental fees on time.
You will receive an email from the Housing Office with details on signing your housing contract. You will also receive an email via Adobe Sign. Please sign the necessary documents at your earliest convenience.
Keys will not be issued unless this contract is signed.
Arriving at Fermilab
To obtain on-site access at the security gate, please be prepared with the following:
- You must present a REAL ID-compliant document.
- Inform the guard that you are here for on-site housing and to direct you to 18 Sauk Boulevard in the Fermilab Village.
- If you do not already have an active Fermilab ID badge, please either schedule a badge appointment or stop in the Fermilab Welcome and Access Center (Aspen East) to obtain your ID badge. They are open Monday through Friday from 7:30 a.m. to 4 p.m.
Check-in is at 3 p.m. You will receive an email by 3 p.m. the day you arrive, or the Friday before if your arrival is on the weekend, with details on how to pick up your key. Keys will not be issued unless your contract has been signed and payment has been received.
Keys are placed in a lockbox at the vending and laundry building (open 24/7) located at 18 Sauk Boulevard in Fermilab Village.
Important: If you are arriving via rideshare/taxi/limo and picking up keys from 18 Sauk Boulevard, please have the driver wait until you obtain your key and then drive you to your residence.
You are required to have an active Fermilab ID badge while staying on site.
To obtain your Fermilab ID badge, schedule a badging appointment and visit the Campus Access Office. Be sure to attend your badging appointment at the appointed time. If your appointment is scheduled for later in the day, feel free to check in at the Housing Office first.
You can also walk in without an appointment to the Fermilab Welcome and Access Center (Aspen East) Monday through Friday from 7:30 a.m. to 4 p.m. to get an ID badge.
