
Group Houses
Group Houses are Fermilab houses or apartments that are rented by an experiment, university or group. The license is held by an individual representing the group. Each person who stays in the house will have an addendum outlining their agreement with the license holder. This addendum will include length of stay and payment arrangement. As houses and apartments must be rented as a whole, and not by room, the license holder is financially responsible for any time the room is empty.
- Houses have to be rented for at least one month.
- Houses have to be rented as a whole. Even if there are unoccupied rooms, they need to be paid for at the beginning of the pay period.
- Each person, must have valid site access for the entire time that they are staying.
- Each person much submit a housing request form.
- If you plan to host the house as a group house, we would need the specific information and all required documentation – Housing Request forms, and if applicable, a Travel Request Approval (TR) for each individual, at least two weeks in advance.
If you are using a Fermi lab travel code:
- The house has to be 100% occupied. Fermilab codes can not be used to pay for empty rooms.
- People staying a group house can choose between 2 methods of payment
- ” Self Pay” – Paying by credit card or money order.
- “Travel Code” Using a Travel code or Project/ Task code supplied to them by their point of contact.
- If a person is using a Fermilab Travel code (including “17” codes), a Travel Request approval (TR) is also required.
If you have been invited to an existing group house, please indicate so on your Housing Request Form. Please indicate which house you have been invited to and who invited you. If submitting request by email, please copy the license holder of the house.

Families and Authorized Guests
Fermilab has accommodations suitable for families.
- Double Occupancy dorm rooms for couples
- Houses and Apartments for couples and families
Everyone, 18 and older, who lives in the Fermilab Village must have valid site access approval, for their entire stay. Children under 18 can stay onsite with their parents and do not require any additional steps for site access approval. Everyone, of any age, who lives onsite must be on the housing license agreement and added to the onsite occupancy list in order to meet safety requirements.
Please be sure to indicate on your housing request that your family will accompany you to Fermilab. Once you have made your reservation, please visit the Campus Access website to begin the Authorized Guest site access approval process. Please allow a few weeks for this process to be complete. Your guest’s access request must be approved before your arrival date, or they cannot come onsite.
When requesting Authorized Guest access for your family members, their arrival and departure dates should not exceed:
- Your site access approval
- Your housing contract dates

Sharing a House or Apartment with Colleagues
If you are coming to Fermilab with colleagues and wish to share a house or apartment with your colleagues, you can start a Group House. Fermilab has several three bedroom houses available and a few two bedroom apartments to rent. There are no units available with greater than three bedrooms. Three bedroom houses can accommodate three individuals or one couple and three individuals. Follow the steps below to request a Group House to share with your colleagues.
- Review the guideline above concerning Group Houses.
- Decide amongst yourselves who will act at the “License Holder”.
- Indicate on your Housing Request Form that you are interested in starting a group house.
- Each person must fill out their own Housing Request form.
- In the “Special Accommodations” section, each person should:
- Include the names of all the people sharing the house.
- Indicate who the license holder will be.
Please note, the house has to be paid for as a whole. If one of your colleagues leaves early, for example, the license holder is still responsible for paying for the empty room.
