Onsite Access (ID Badge) and Computing Accounts (Remote Access)

  • Please begin this process at a minimum of 4 weeks prior to your arrival at Fermilab or the expiration of your accounts to ensure the process is complete at the time of your arrival.

You are responsible for turning in your badge when you are no longer working at Fermilab.  See our Terminating Workforce Policy for more information.  If you no longer have your ID badge, please submit a Lost Badge Report.

Remote Access Only

All new or returning Users should fill out one of the following forms at least 4 weeks prior to  your arrival at Fermilab or the expiration of your computing accounts to obtain an ID badge and/or to renew computing accounts.

    1. New request
    2. Renewal request

If your plans change and you decide to come to Fermilab, please also fill out the On-site request form at least 4 weeks prior to you arrival at Fermilab.

On-Site Access

Before you arrive:

All new or returning Users should fill out one of the following forms at least 4 weeks prior to your arrival at Fermilab or the expiration of your computing accounts to obtain an ID badge and/or to renew computing accounts.

    1. New request – computing privileges and ID badge
    2. Renewal request – computing privileges and ID badge
    3. On-site request form – you have active computing accounts but need an ID badge (you will need to log in using your services ID and password in order to fill out this form)

Failure to submit this form at least 4 weeks prior to your arrival/ computing account expiration could result in the termination of your computer accounts.

  • If you will need an ID badge, please make sure to answer “Yes” to the question “Will you need a Visitor ID badge…?” so that your ID badge request gets approved by your affiliated experiment or division. Do I need an ID badge?
  • ID badges are limited to 1 year max
  • If you are staying in our onsite housing, you are required to have an ID badge.
  • Users under the age of 18 are prohibited from certain activities and should fill out a Student Registration Form.  Please reference FESHM 1010 for more information.

Once the Users Office receives and processes your service desk ticket, you will get an email from the Service Desk stating what your account expiration date will be.  If you will be onsite for the first time, you will also receive an email from the Users Office with further instructions on how to get your ID badge when you arrive at Fermilab (the information can also be found in the next section).

If you are a new user or your computer access has expired, please complete the appropriate On-site Access and Computer Accounts request form.  Once your request form is processed by the Users Office, you will be able to take the following training.

  1. ESHQ New User / Employee Orientation
  2. Sexual Harassment Awareness and Prevention Training
  3. Workplace Violence and Active Shooter/Active Threat Awareness Training

Complete your three training requirements PRIOR to your arrival at Fermilab

Tips for taking the tests:

DO NOT CLICK ON THE TEST LINK AT THE END OF THE PRESENTATIONS:  Please following these instructions to request that the test links be emailed to you:

  • Go to the ESH&Q Testing Center
  • In the drop-down menu under “Select an online test,” select one of the following classes:
    • “New Employee/User ESH&Q Orientation [FN000034/CR] 283”
    • “Sexual Harassment Awareness and Prevention for Fermilab Users, Visitors and Contract Employees [FN000531/CB] 1885” (double check to make sure you have the right class number on this one because there is more than one “Sexual Harassment” training listed)
    • “Workplace Violence and Active Shooter/Active Threat Awareness Training [FN000508/CR] 1306”
  • In the box under “Enter your Fermi ID,” type in your Fermi ID number.
  • Click on the button to the left of “Visitor” (under “Enter your Fermi ID”)
  • Click on the “Submit” button
  • On the following page, your email address will be displayed in bold type; verify that the email address is correct.
    • If the email address is incorrect, contact us ASAP to correct it
    • If the email address is correct, then click on the “Request Test” button
  • A link to the test will be emailed to you shortly.
    • Log in to your email and click on the link that is sent to you.
    • Follow the instructions on the test link to complete the test.

You will need to repeat these steps in order to complete the test for all THREE training classes. 

If you are working on an experiment that is associated with Fermilab’s Accelerator Complex or CMS, your home institution must have a signed Non-Proprietary User Agreement on file with us.

Once you Arrive

Contact the Users Office to set up an appointment to verify your documents. You will need to provide the appropriate documents for on-site access.

REAL ID at Fermilab

Please note that beginning August 1, 2021 personnel requesting access to non-public areas of the Batavia and South Dakota sites must submit a REAL ID-compliant document as part of the badging process.  Additional information regarding REAL ID can be found at https://eshq.fnal.gov/realid/.
