An employee is an individual who is currently employed by Fermi Research Alliance.
Access steps to follow
Badge steps for employees
New employees must complete the following:
- New employee onboarding prior to their employment start date.
- The I-9 verification process with employment services.
Badging process:
- New employees will be brought to the Campus Access Office the day of orientation to get their picture taken for a badge.
- Badges will then be printed and given to the recruiters to be handed out at the completion of your orientation.
- If for some reason, you are not able to get your badge on the first day of work, you will need to schedule a badge appointment for a later date.
Badging process:
If you are a renewing employee, your supervisor must verify any physical keys in your possession within the last 12 months. Your supervisor will receive that notification annually. You should ensure that your supervisor’s physical key verification is complete prior to scheduling a badge appointment.
You must schedule a badge appointment no more than 30 days prior to the current badge expiration date.
- Non-U.S. citizens: The Fermilab Visa Office will notify you when your badge is entered in the system and you are then able to schedule a badge appointment.
Badging process:
The renewing employee’s supervisor must verify any physical keys in your possession within the last 12 months. Your supervisor will receive this notification annually.
Before scheduling your badge appointment, renewing employees should ensure their supervisor’s physical key verification is complete.
Your badge needs to be updated in the applicable systems.

- U.S. citizens, term employees: the HR Records office will enter your ID badge in the systems and then email your division contact to notify them of the updated badge. Once you hear from your division you can schedule your badge appointment.
- If you do not hear from your division by 2 weeks prior to your badge expiration date, you can also email Campus Access and they will check to see if it’s been updated.
- U.S. citizens, term employees: the HR Records office will enter your ID badge in the systems and then email your division contact to notify them of the updated badge. Once you hear from your division you can schedule your badge appointment.

- U.S. Citizens, regular full-time employees: can schedule a badge appointment once they have confirmed that their keys have been verified by their supervisor. The Campus Access Office will update your ID badge dates in the systems.

- Non-U.S. citizens: The Visa Office will notify you when your badge is entered in the system and you are set to schedule a badge appointment.
Access will be added to badges shortly after they are issued. Please be patient, as this is a manual process.
Adding additional access to your badge
For key and card access requests to buildings, email the Security Operations Center (SOC) at access@fnal.gov. The Security department will seek the proper building authority for approval and safety requirement verification.

Terminating employees
The supervisor should complete the following tasks when an employee terminates:
- Collect the worker’s ID badge and return it to the Campus Access Office, located on the first floor of Wilson Hall and at the Fermilab Welcome and Access Center (Aspen East).
- If applicable, collect the worker’s key(s) and dosimetry badge and return these items to the Security Operations Center (SOC), located on the ground floor of Wilson Hall.
